The Administrative Assistant/Receptionist reports to the Workplace Support Supervisor for Cushman & Wakefield, working closely with the other members of staff, with the ultimate goal of satisfying the needs of our client, Adobe Systems Incorporated.

Hours of Position:

8:00 AM - 5:00 PM, Monday through Friday; lunch from 12:00 Noon - 1:00 PM, unless otherwise arranged


  • Be familiar with Adobe and Cushman & Wakefield policies and procedures and as they relate to your position and job description
  • Establish an outline and timetable for completion of routine duties carried out daily
  • Ensure all visitors are greeted in a pleasant and courteous manner. Promptly announce visitors to the appropriate employee. Politely declines unwanted visitors.
  • Answer the phone in a courteous, professional manner within two rings and assist callers as required, or transfer or refer them to a more appropriate person where necessary
  • Ensure that visitors applying for open positions are referred to the correct person and/or referred to the proper web site or provided the proper application form.
  • Review e-mails and respond, as appropriate, or forward to a more appropriate person for completion where necessary
  • Receive, date stamp, and distribute the mail each day for the facilities management office
  • Be familiar with the work order request system. Review service desk calls and assist Facilities Manager in following up with assignees and/or management as necessary to help insure timely completion of scheduled work orders in accordance with established standards
  • Review requests for purchase orders, assign purchase order numbers in Yardi, maintain PO Accrual Log and update on a weekly basis. Ensure that all purchases are in full compliance with Cushman & Wakefield policies and procedures
  • Review invoices match them up with their corresponding purchase orders, code, enter into Yardi accounts payable system, copy and forward copies to our accounts payable check processing center.
  • Ensure that all invoices are properly coded and paid on time
  • Review and update accruals on a monthly basis
  • Be familiar with the filing system, including: general files, vendor files, invoice files, bid files, personnel files, forms files, owner approval file, insurance certificates binder, as well as other binders maintained in the facilities management office. Maintain files as required, on a timely basis
  • Ensure that all vendors have current and correct certificates of insurance, as well as Vendor Set-up Packages, signed and on file, renewed annually
  • Working with management, maintain and distribute current emergency numbers lists, vendor number lists, and personnel lists
  • Assist with the preparation, printing, production, and distribution of the monthly reports, quarterly budgets, and semi-annual Supplier Business Reviews
  • Prepare letters and envelopes as required
  • Maintain constant and positive communications with all Adobe employees, Cushman & Wakefield employees, and vendors
  • Other duties of a similar nature, as required
  • Actively search for areas for improvement and make recommendations where appropriate

    • Excellent written and verbal communication skills.
    • Good to excellent working knowledge of Microsoft Word, Excel, PowerPoint; familiarity with Adobe Acrobat
      • High school diploma required, 2 years of college coursework relating to Facilities preferred
        • Ability to work effectively in a high-pressure environment; Must be able to work cross-functionally
        • Goal oriented team player with excellent organization skills; Ability to multi-task; must have strong time management skills.
        • Enthusiastic self starter who is actively looking to learn and grow.
