Customer Service Associate I - Mail Operations

Hours of Operation: 35 to 40 hour work week between the hours of 8:00 a.m. - 6:00 p.m.

Primary Job Duties

Mail Operations


  • Working 1 primary location with ability to provide coverage support for local site locations
  • Process inbound and outbound mail daily following compliance procedures as required
  • Deliver incoming mail ensuring proof of delivery on all material
  • Collect outbound and imaging material from floor drop-off locations several times daily
  • Create overnight pouch shipments to destination locations
  • Ensure proper shipping by completing quality assurance on all material
  • Meter and deliver outgoing USPS material to drop-off locations as needed
  • Maintain postage meter machine and replenish postage as required
  • Monitor email and respond to inquiries as soon as possible and within 2 business hours
  • Research inbound and outbound mail, as needed, escalating unresolved issues
  • Process returned mail by way of scanning, logging and upload to spreadsheet or SharePoint site
  • Accurately process and ensure delivery of critical, high dollar bank deposits
  • Maintain logs, metrics and reporting documentation for all Salt Lake City locations
  • Ensure client Service Level Agreements are met
  • Ability to complete tasks without onsite manager supervision
  • Ability to make decisions, communicate current events and escalate incidents to manager appropriately

    Supply Services

    • Maintain office, courier and paper supply programs taking inventory and noting replenishment needs
    • Replenish and maintain appropriate par levels and ensure office, courier and paper supplies remain stocked
    • Maintain envelope and courier supply inventory and order from FedEx, UPS, DHL and US Postal Service as needed
    • Ability to accurately place large, high dollar, office supply orders through Staples via ordering@mydesk
    • Report variances and changes in supply programs as needed

      Special Projects

      • Assist in special projects as requested by client
      • Ability to work overtime and weekends, as needed and on short notice, to meet client needs

        Additional Responsibilities

        • Demonstrate flexibility in satisfying customer demands
        • Maintain highest levels of customer care while demonstrating a friendly and cooperative attitude at all times
        • Know, understand and adhere to business procedure guidelines at all times
        • Take direction from supervisor or site manager as required
        • Participate in cross training of responsibilities as appropriate
        • Understand and adhere to all safety procedures


          Requirements

          • High school diploma or equivalent (GED) required
          • Ability to pass a pre-employment check which includes work history verification, criminal, credit checks, and drug testing
          • Mailroom experience preferred
          • Effective verbal and written communication skills
          • Minimum of 6th months customer service related experience preferred
          • Possess a friendly and pleasant demeanor and ability to work effectively in both an independent or team environment
          • Keyboarding and windows environment PC skills
          • Well rounded in Microsoft Suite
          • Ability to present self in a clean, confident, professional manner and be outgoing, self-motivated, reliable and responsible
