Job Description:

ABS Kids is looking for an Office Manager in our Salt Lake City location! The Office Manager is responsible for overseeing the general administrative function and efficient operation of the facilities in the assigned region as well as the direct oversight of the Receptionists and Psych Intake Specialists.Our Administrative Support team members play a vital role in advancing our mission to make a difference in the lives of children with autism spectrum disorder and their families. Every team member at ABS Kids is passionate about providing best in class support to our direct care providers, who in turn deliver the highest quality ABA therapy to our patients. What would you do?Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurementManage all aspects of the offices space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requestedAchieve financial objectives by maintaining an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actionsPerform facilitates maintenance of office equipment including cleaning, maintenance, and repairs to ensure uninterrupted functionProvide clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documentsSupport the Receptionists and Psych Intake Specialists by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.Audit work being completed by Receptionists and Psych Intake Specialists to ensure compliance and qualityMonitor all Receptionists and Psych Intake Specialists overdue tasks and step in to assist as needed to ensure all tasks are completed in a timely fashionTrain new Receptionists and Psych Intake SpecialistsMeet regularly with Receptionists and Psych Intake Specialists to review current processes and ensure understanding.Manage relationships with facility management vendors, including building management, cleaning, catering and security servicesManage contract and price negotiations with vendors, service providers and office leaseMaintain inventory of office supplies; orders new supplies as neededCoordinate with IT and other functional departments on all office equipment including phone system administrationKeep management informed; summarize information; identifying and escalate issues and trendsPlan in-house or off-site activities, like parties, celebrations and conferencesMaking travel arrangements including flight and hotel bookings for corporate employees and guests as neededImplement established policies and procedures, measure outcomes against standards, and improve operational flow when identifiedEnsures security and emergency preparedness procedures are implemented properly and manages site inspectionsProactive communication with management and regional staff on updates to related to office operationsReturn calls and field complaints from employees and clientsTrack RingCentral analytics and tasks and report findings to Regional DirectorBirthday recognition for regional employeesTravel to existing and potential market regions for business development, reception support, and training, as neededWho are we looking for?High school diploma or equivalent required; Associates degree in office administration or related field preferredMinimum of 1 year of experience in a supervisory role requiredMinimum of 3 years of experience in front office and/or receptionist experience requiredKnowledge of HIPAA regulationsStrong organizational and communication skills to build and foster effective relationshipsStrong critical thinking and problem-solving skills to help ensure successful partnerships and department qualityAbility to prioritize work and good time management skillsAbility to work independently and adapt quickly to new policies and protocolsMust demonstrate excellent phone etiquette and exceptional customer service skillsExcellent organizational skills and attention to detailStrong written and verbal communication skillsExcellent time management skills Ability to adapt to changing prioritiesAbility to work efficiently and quicklyFamiliarity with Microsoft OfficeWhat do we offer?Highly competitive salary plus annual bonusFull benefitsCasual work environment Opportunities for advancementAbout our Company ABS Kids is dedicated to empowering children with autism spectrum disorders and their families to reach their full potential - helping them learn, grow and reach incredible milestones.
