The scope of our work frequently includes: + Automated access controls including, pop-up barriers and bollards as well as gates and turnstiles + High-security barriers including bollards, fencing, and cable barriers + "Smart" fence systems such as taut wire, intelligent video, sub-lethal electrified systems, and fiber optic intrusion detection systems + Providing design and engineering to help solve or develop security solutions to difficult problems POSITION SUMMARY: We are currently looking for an Administrative Assistant for our STS (Sloan Technical Services / Service & Maintenance) Division. The STS Administrative Assistant will assist in maintenance work order planning, materials management, spare parts and compliance through data entry of work orders and or work requests utilizing specialized software. Will assist in dispatching, inventory requests, and providing prioritized attention to escalated service calls. This position reports directly to the STS Manager. RESPONSIBILITIES: + Responsible for accurate data collection & entry/dispatch of service & maintenance orders + Maintains all Service & Maintenance vendor entries and history + Creates/logs/files purchase orders submitted for approval + Prepares status reports based on performance data for STS Manager + Orders maintenance and equipment parts + Assists PMs with work order management as needed + Initiates cold calls for sales among client accounts + Follow up on vendor account referrals of additional accounts + Call completion verification and close out + Provide documentation summary with weekly invoice breakdown for management review + Prepares weekly calendar to key stakeholders + May perform additional administrative duties/assist in special projects as assigned KNOWLEDGE/EXPERIENCE REQUIREMENTS: + High School diploma required + 1-2 years experience working in an office environment + General knowledge in Microsoft Office Applications (Word processing, spreadsheets and database software) + Experience utilizing basic office equipment (fax, copier, etc.) + Cognitive functions & problem-solving skills SKILLSET: + Strong verbal, written, and interpersonal communication skills + Detail Oriented + Attention to detail and ability to multi-task + Good organizational and time management skills + Team player with the ability to work with diverse backgroundsMust be able to pass a pre-employment background check and drug screen to be considered for employment.
