Job Description:
Job Summary Provides administrative and secretarial support to
the Executive Managment Committee. Key responsibilities include but
to limited to: answering phones, taking messages, distributing
mail, ordering supplies, maintaining calendar and appointments,
managing E-time, creating correspondence and preparing PowerPoint
presentations; as required.What you will do
- Maintains the calendars and schedules appointments, meetings
and events. Establishes agendas and keep -minutes.
- Screens incoming calls and mail. Greets visitors and ensures
appropriate follow-up to requests.
- Responsible for coordinating team events. Reserves conference
rooms, coordinates audio/visual equipment and catering.
- Creates letters and correspondence upon request, including
e-mails. Makes photocopies, faxes, and distributes literature and
material as directed.Handles and maintains departmental
confidential materials/files. Assists in creation of PowerPoint
presentations for executive meetings.Updates and may set up various
spreadsheets and input of information into databases.
- Maintains/schedules all traveling requirements including
travel, hotel, car rental for routine business travel, special
events and various seminars/conferences for the EMC member or team,
to include preparation of agenda and itinerary for team before
departure for business travel, preparation and submission of
expense reports and associated expenses upon team members
return.
- Acts as office administrator responsible for ordering supplies,
filing, organizing and expense reporting. Handles E-time reporting
for the team.
- Participates in special projects and performs other duties as
required.QualificationsMust have:
- 7+ years experience with a minimum of 4 years supporting an
executive level staff member is preferred.
- Typically a high school diploma, GED, or equivalent.
- Must be fluent in all MS Applications (Microsoft Word, Excel,
Power Point and Outlook).
- Expediency and accuracy of work is imperative.
- Ability to utilize discretion and maintain confidentiality is
required.
- Strong interpersonal skills and ability to communicate
effectively with others at all levels of the company.
- Excellent organizational skills and demonstrated ability to
multitask is required.
- Very strong follow-up and detailed-oriented skills.
- Excellent judgment and problem solving abilities.
- Ability to work and act independently without constant
supervision.
- Superb prioritization of short and long term projects, and work
on items of a confidential nature.
- Ability to exhibit a high level of professionalism and
